We are looking for a Talent Acquisition Operations Specialist to drive operational excellence across our talent acquisition function in Malaysia and the broader APAC region.

You will own and optimise TA processes, deliver data-driven insights and partner with TA leaders and business stakeholders to ensure a seamless and efficient hiring experience.

Responsibilities
  • Own and continuously improve end-to-end Talent Attraction processes across requisition management, interview coordination and selection
  • Manage interview scheduling across multiple time zones while ensuring a seamless experience for all parties
  • Oversee internal job boards and external career portals to ensure accuracy and alignment with employer brand guidelines
  • Direct internal and external referral programs, tracking effectiveness and recommending improvements
  • Build and maintain recruitment dashboards and reports to translate data into actionable insights for leadership
  • Identify process bottlenecks and implement scalable solutions to enhance team productivity and hiring outcomes
  • Support projects including process redesigns, knowledge base documentation updates and coordination of hiring events
Requirements
  • Proven experience in Talent Attraction operations, recruitment coordination or HR operations within a regional or multi-country setting
  • Hands-on experience with Applicant Tracking Systems (ATS)
  • Advanced proficiency in Microsoft Excel and strong working knowledge of the broader Microsoft Office suite
  • Strong analytical skills with the ability to interpret recruitment metrics and present findings to diverse audiences
  • Clear communication and interpersonal skills to build relationships across geographies and seniority levels
  • Process-oriented mindset with a proactive approach to identifying and solving operational inefficiencies
  • Familiarity with AI tools, frameworks and prompt engineering to optimize hiring and operations workflows
Nice to have
  • Experience with data visualization tools like Power BI
  • Background in supporting high-volume recruitment
  • Experience with recruitment agency communication and vendor management
  • Knowledge of APAC labor markets, employment regulations and cultural nuances in hiring
