We’re looking for a Receptionist to join our team in Berlin, Germany in an on-site working mode. This is a part-time role (20 hours/weekly) on a 1-year fixed-term contract. In this position, you will provide professional front-desk service, ensuring a welcoming, efficient and safe office environment for employees and visitors. You will manage day-to-day operations across reception, office administration and vendor coordination, helping maintain smooth business processes and a positive workplace experience.

Responsibilities
  • Ensure a user-friendly, safe and sustainable office environment, addressing necessary repairs promptly
  • Offer professional reception services to visitors and handle incoming phone calls, providing clear responses and escalating inquiries when needed
  • Conduct office orientation for new starters, including provision of equipment and induction support
  • Arrange and manage meetings or conference calls, ensuring meeting rooms remain clean and functional
  • Administer invoice processing, approvals and payment follow-ups while supporting general administrative tasks
  • Coordinate with remote IT support and local accountant to ensure smooth office operations
  • Monitor office expenses and manage supplier relationships to maintain cost-effective agreements
  • Manage mail processes including distribution of incoming mail and organization of courier shipments
  • Assist in planning and implementation of office events such as offsite meetings, conferences and team gatherings
Requirements
  • Previous front-of-house receptionist experience
  • High standard of written and spoken German and English with a professional telephone manner
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and confident use of the internet
  • Strong organizational skills with the ability to prioritize a busy schedule while maintaining attention to detail
  • Effective communication and interpersonal skills to liaise with people at all levels
  • Positive, proactive attitude in identifying issues early and responding to internal and external inquiries
  • Resourcefulness, resilience and punctuality
  • Ability to handle sensitive data with discretion
  • Problem-solving mindset with willingness to propose improvements
