Responsibilities
- Oversee core reception functions and act as the first contact for both visitors and staff members
- Keep administrative invoices up to date and organize all related documentation
- Support new hires and departing employees throughout onboarding and offboarding steps
- Administer the ticketing support system, resolving incoming requests in a timely manner
- Keep the office aligned with Physical Security guidelines at all times
- Take care of document workflows, including mail sorting and shipping arrangements
- Help coordinate events together with the Events & Marketing teams
- Support client visits by ensuring a professional and welcoming experience
- Work with contractors to schedule office maintenance and repair tasks
- Book taxi services for employees and guests upon request
- Keep an eye on office supply stock and reorder items as required
- Handle reservations and scheduling for meeting and conference spaces
- Manage cleaning and security teams to keep the office secure and well-maintained
- Act as the go-to contact for Landlords and Vendors on daily office concerns
Requirements
- Customer-first attitude paired with genuine positivity
- Dependable and accountable work ethic
- Capable of handling responsibilities with minimal guidance
- English communication skills at B1 level
- Strong Polish language skills at C1 level or above
Nice to have
- Background in reception work or general office administration
- Hands-on experience with office management tools and ticketing software
