We are searching for an Immigration Specialist to join our team and take on the critical role of handling immigration procedures for employees and stakeholders.

Responsibilities
  • Coordinate the preparation of documents required for Polish work and residence permits, including initial applications, renewals, job condition changes, and maintaining compliance with immigration requirements
  • Compile employer-related documentation for Polish visas, work permits, and residence permits
  • Partner with immigration vendors to ensure processes are efficient and run smoothly
  • Act as the main liaison for employees, managers, and HR teams throughout the immigration lifecycle
  • Provide stakeholders with accurate information and on-demand assistance while meeting service expectations
  • Monitor immigration case progress, address problems, and provide actionable solutions regularly
  • Identify inefficiencies in current processes and actively implement improvements to enhance workflow
  • Educate employees on company policies and ensure compliance with immigration regulations and organizational standards
  • Report on case updates, collect stakeholder input, and prepare reports for management review
  • Ensure strict adherence to company policies, immigration laws, and data protection regulations, including GDPR compliance
  • Work collaboratively with HR teams, managers, vendors, and government agencies to deliver compliant immigration support
  • Track permit expiration dates and other critical deadlines to ensure timely follow-ups and necessary actions
  • Consistently deliver high-quality work within established timelines, both independently and with minimal supervision
Requirements
  • Bachelor’s or Master’s degree in a relevant discipline
  • At least one year of experience in Immigration, Global Mobility, HR, or a related field
  • Ability to follow established processes while identifying opportunities for improvement and innovation
  • Strong skills in problem-solving, negotiation, and decision-making
  • Fast learner with the ability to manage multiple priorities and take initiative in a dynamic environment
  • Exceptional organizational and time-management skills
  • Ability to stay focused and perform effectively under tight deadlines
  • Proven experience collaborating with cross-functional teams to achieve shared goals
  • Strong interpersonal and communication skills with a focus on delivering excellent stakeholder experiences
  • Ability to build and maintain strong relationships with stakeholders for successful outcomes
  • Commitment to confidentiality and the ability to exercise sound judgment in handling sensitive information
  • Proficiency in Microsoft 365, SharePoint, Google Drive, and Teams
  • Interest in leveraging AI tools (e.g., Microsoft Copilot, ChatGPT) to improve workflows and boost efficiency
  • Interest in optimizing processes and driving improvements in operational performance
  • Fluency in English and Polish, with a minimum B2 level in both written and spoken communication
