Responsibilities
- Manage the preparation of documents required for Polish work and residence permits, including initial applications, renewals, job condition changes, and ensuring compliance with legal standards
- Prepare employer-side documentation for Polish visas, work permits, and residence permits
- Work closely with immigration vendors to ensure smooth and effective workflows
- Serve as the primary point of contact for employees, managers, and HR teams throughout the immigration process
- Provide clear and accurate information to stakeholders while ensuring service expectations are met and support is readily available
- Monitor the progress of immigration cases, address challenges, and implement solutions as needed
- Identify inefficiencies in current processes and introduce updates to improve workflow and operational efficiency
- Educate employees on company policies and ensure compliance with immigration regulations and internal protocols
- Share updates regarding case progress, gather input from stakeholders, and create detailed reports for management
- Maintain strict compliance with organizational policies, immigration laws, and data protection regulations, including GDPR requirements
- Collaborate with HR teams, managers, vendors, and government agencies to support compliant and efficient immigration processes
- Track permit expiration dates and other key deadlines to ensure timely follow-ups and prevent delays
- Consistently deliver high-quality work within set timeframes, both independently and with limited supervision
Requirements
- Bachelor’s or Master’s degree in a relevant field
- At least one year of experience working in Immigration, Global Mobility, HR, or a related area
- Ability to follow established procedures while identifying opportunities to enhance and improve them
- Strong skills in problem-solving, negotiation, and decision-making
- Quick learner with the ability to handle multiple tasks and take initiative in a fast-paced work environment
- Excellent organizational skills and the ability to manage time effectively
- Ability to remain focused and deliver results under tight deadlines
- Proven experience working collaboratively with cross-departmental teams to achieve objectives
- Strong interpersonal and communication skills with a focus on stakeholder satisfaction and service excellence
- Ability to develop and maintain strong relationships with stakeholders to achieve positive outcomes
- Commitment to confidentiality and sound judgment when managing sensitive or confidential information
- Proficiency in Microsoft 365, SharePoint, Google Drive, and Teams
- Interest in utilizing AI tools (e.g., Microsoft Copilot, ChatGPT) to streamline workflows and boost productivity
- Interest in improving processes and driving operational efficiency
- Fluency in English and Polish, with a minimum B2 level in both written and spoken communication
