Responsibilities
- Manage the creation of documentation for Polish work and residence permits, including initial applications, renewals, job condition modifications, and ensuring compliance with legal requirements
- Prepare employer-related paperwork for Polish visas, work permits, and residence permits
- Work with immigration vendors to ensure efficient and seamless workflows
- Act as the primary contact for employees, managers, and HR teams during all stages of the immigration process
- Provide clear and reliable guidance to stakeholders, offering assistance as needed while adhering to service-level agreements
- Track and oversee the progress of immigration cases, address challenges, and implement effective solutions as required
- Identify inefficiencies in current processes and actively implement updates to improve workflow efficiency
- Educate employees on company policies and ensure compliance with immigration regulations and internal guidelines
- Share updates on case progression, collect stakeholder feedback, and deliver detailed reports to management
- Ensure adherence to corporate policies, immigration laws, and data protection regulations, including GDPR compliance
- Collaborate with HR teams, managers, vendors, and government authorities to support compliant immigration practices
- Monitor permit expiration dates and critical deadlines to ensure timely actions and avoid delays
- Consistently deliver high-quality results within established timeframes, working independently and with minimal supervision
Requirements
- Bachelor’s or Master’s degree in a relevant area of study
- At least one year of professional experience in Immigration, Global Mobility, HR, or a related field
- Ability to follow established procedures while identifying areas for enhancement and improvement
- Strong skills in problem-solving, negotiation, and decision-making
- Quick learner with the ability to handle multiple priorities and take initiative in a fast-paced environment
- Excellent organizational and time-management capabilities
- Ability to work effectively under tight deadlines and maintain focus in challenging situations
- Proven ability to collaborate successfully with cross-functional teams to achieve goals
- Strong interpersonal and communication skills, with an emphasis on stakeholder satisfaction and service delivery
- Ability to build and maintain strong relationships with stakeholders to ensure positive outcomes
- Commitment to confidentiality and the ability to exercise sound judgment when handling sensitive information
- Proficiency in Microsoft 365, SharePoint, Google Drive, and Teams
- Interest in leveraging AI tools (e.g., Microsoft Copilot, ChatGPT) to enhance productivity and improve workflows
- Interest in optimizing processes and driving operational improvements
- Fluency in English and Polish, with a minimum B2 level in both written and spoken communication
