Responsibilities
- Handle the preparation of documents for Polish work and residence permits, including initial applications, renewals, job condition changes, and ensuring legal compliance
- Create employer-side documentation for Polish visas, work permits, and residence permits
- Collaborate with immigration vendors to ensure smooth and efficient processes
- Act as the main point of contact for employees, managers, and HR teams during all steps of the immigration process
- Provide accurate information and guidance to stakeholders, offering support as needed while meeting service expectations
- Monitor case progress, resolve issues, and implement actionable solutions as they arise
- Identify inefficiencies in current workflows and actively implement updates to improve efficiency
- Educate employees on organizational policies and ensure compliance with immigration laws and internal standards
- Report on case updates, collect feedback from stakeholders, and prepare detailed reports for management
- Ensure compliance with company policies, immigration regulations, and data protection requirements, including GDPR
- Work closely with HR teams, managers, vendors, and government authorities to ensure compliant immigration processes
- Track permit expiration dates and other important deadlines to ensure timely follow-ups and actions
- Consistently deliver high-quality work within established deadlines, both independently and with minimal oversight
Requirements
- Bachelor’s or Master’s degree in a related field
- At least one year of professional experience in Immigration, Global Mobility, HR, or a similar discipline
- Ability to follow defined procedures while identifying opportunities for improvement
- Strong problem-solving, negotiation, and decision-making skills
- Quick learner with the ability to manage multiple tasks and take initiative in a dynamic environment
- Excellent organizational and time-management skills
- Ability to perform effectively under tight deadlines and manage workload in challenging situations
- Proven ability to collaborate with cross-functional teams to achieve shared objectives
- Strong interpersonal and communication skills with a focus on stakeholder satisfaction and service excellence
- Ability to establish and maintain positive relationships with stakeholders to ensure successful outcomes
- Commitment to confidentiality and sound judgment when handling sensitive information
- Proficiency in Microsoft 365, SharePoint, Google Drive, and Teams
- Interest in using AI-driven tools (e.g., Microsoft Copilot, ChatGPT) to enhance workflows and boost productivity
- Interest in streamlining processes and improving operational performance
- Fluency in English and Polish, with a minimum B2 level in both written and spoken communication
